When you use AIVisionExpert, we may process information that you provide directly to us, including your name, email address, organisation, telephone number, messages, enquiries, product requirements and other information you voluntarily provide.
We may also process technical information generated when you use the website, such as IP address, browser type, device information, date and time of access, requested pages and security or diagnostic logs.
If you create an account, we may process account identifiers and account-management information.
If purchases are offered through AIVisionExpert, we may process information required to handle the order, delivery, invoicing, warranty and customer service. Payment-card information may be processed directly by a payment provider rather than stored by AIVisionExpert.
3. Microsoft sign-in and identity services
Where AIVisionExpert allows you to sign in using Microsoft Entra ID, Microsoft Account or another Microsoft identity service, Microsoft may provide AIVisionExpert with identity information according to the permissions displayed during the sign-in or consent process.
This may include information such as your name, email address, user identifier, organisation or tenant identifier.
AIVisionExpert does not receive your Microsoft password.
We use identity information only to authenticate you, maintain your account, provide authorised functionality and protect the service.
If additional Microsoft permissions are required for a particular feature, those permissions will be identified through the relevant Microsoft consent process.
4. Why we process personal information
We process personal information where necessary to provide requested services or perform a contract with you; respond to enquiries and provide customer support; operate, maintain and secure the website; authenticate users and manage accounts; improve AIVisionExpert and understand how the service is used; fulfil legal, tax and regulatory obligations; and, where you have given permission, send communications or use optional analytics or similar technologies.
The legal basis will depend on the activity concerned and may be performance of a contract, legitimate interests, compliance with a legal obligation or your consent.
Where processing is based on consent, you may withdraw that consent at any time.
5. Smart-glasses requirements and recommendation information
If you tell us what you need from smart glasses, we may store those requirements in order to provide comparisons, recommendations or support.
We ask users not to provide unnecessary sensitive personal information.
Product recommendations or suitability scores may be generated partly with automated or AI-assisted tools. Such recommendations are advisory and do not constitute automated decision-making that produces legal or similarly significant effects on you.
6. Cookies and analytics
AIVisionExpert may use cookies or similar technologies required for the website to operate, maintain sessions, provide security or remember essential settings.
Where we use cookies or technologies that require consent, such as certain analytics, advertising or tracking technologies, we will request consent before using them where required by law.
You can withdraw or change your consent through the applicable cookie controls where these are provided.
7. Sharing personal information
We do not sell personal information.
We may provide personal information to service providers where necessary to operate AIVisionExpert. These may include hosting and cloud providers, identity and authentication providers, Microsoft services, email and communications providers, security providers, analytics providers, payment providers and professional advisers.
These organisations receive only the information reasonably necessary for their role and are required to handle it appropriately.
We may also disclose information where required by law or where reasonably necessary to establish, exercise or defend legal claims.
8. International transfers
Some technology providers may process information outside the Netherlands or European Economic Area.
Where personal information is transferred outside the EEA, we will use an appropriate GDPR transfer mechanism where required, such as an adequacy decision or approved contractual safeguards.
9. How long we retain information
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected.
Customer and enquiry information will generally be retained for the period necessary to handle the enquiry or customer relationship and for a reasonable period afterwards.
Account information may be retained while an account remains active and for a limited period after closure where necessary for security, dispute resolution or legal obligations.
Technical and security logs are retained only for the period reasonably necessary for system administration, security and investigation.
Information that must be retained for accounting, taxation, warranty or other legal purposes will be retained for the legally required period.
10. Security
We use appropriate technical and organisational measures designed to protect personal information against unauthorised access, accidental loss, alteration, disclosure or destruction.
No internet-based service can provide an absolute guarantee of security, but we seek to use safeguards proportionate to the nature of the information and the risks involved.
11. Your privacy rights
Under the GDPR, you may have the right to obtain information about our processing of your personal data; obtain access to your personal data; correct inaccurate information; request deletion; request restriction of processing; object to certain processing; receive data in a portable format where applicable; and withdraw consent where processing is based on consent.
You can exercise your rights by contacting [PRIVACY EMAIL].
We may need to verify your identity before acting on a request.
